第一章 综述

一 、出色的电子邮件非但能促成商业活动的成功进行,更能化腐朽为神奇。反之,大好商机可能由于电子邮件的谬误而化为乌有。

二 、日常商务往来邮件中,有八成英文写作水平低下;这并不一定是语法问题,而是大部分撰信人对商务邮件风格和语气缺乏起码的认识。专家普遍认为,商务邮件应该具备积极和自然的语气。初学者写出来的商务邮件很可能一成不变的沿袭远至18、9世纪的过时文风。无可否认古旧的句式能使邮件更显“商业”,但事实上,它们大多冗长乏味,甚至含糊不清,呆滞冷漠。

This is to acknowledge your message dated April 10 concerning the above referenced billing error. Upon checking our records, we found that the invoice should indeed read as US$125.00 instead of US$225.00. We apologize for this oversight and attach herewith the correct invoice. 以上信函中,庸俗无意的古旧句式以斜体字标明,写作风格过于拘谨刻板,以下的修正后的邮件就较为简短且语气友善。切中问题要害(同时提出解决方法),又不失商业味道。 Dear Sir:

Thank you for your message of April 10. We have confirmed that the invoice should read as US$125.00 and not US$225.00. We are sorry for this error and have enclosed/ have attached/ will mail / will fax a corrected invoice for US$125.00

Sincerely yours, (35字)

三 、无论电子邮件内容涉及好消息、坏消息或只是一般性信息,撰信人都应表现出积极的态度和个人的风格,行文应当自然流畅。态度友善、行文流畅的书信,撰写起来比较快捷,也较能触动收信人的心,使其易于回复。反之,如果正式的信函(措辞古旧夸虚,语气恃权慑人)只会替双方加设不必要的沟通阻碍。撰写邮件切忌使用古旧晦涩、呆滞无意或发号司令的词句。应本着 “ 顺其自然 ” 的态度撰写,并能流露出一点 “ 微笑 ” 。

四 、有些邮件可能涉及需要传递坏消息,如交货问题、人事问题等等。这类邮件的写作难度较高,因为个人情绪(如挫败、愤怒、忧虑、失落、悲伤等)很容易影响到撰信人的客观态度或既定的写作目的。再理智的人,遇上心境难平,情绪偏激的时候,也会不知不觉地偏离客观的轨道,此刻不宜撰写这类邮件。 五 、关于主动语态和被动语态。

撰写传递好消息或者一般讯息的信函时,大多数使用主动语态,而非被动语态。例如,应该说“We mailed the check on May 5.”,而非“The check was mailed on May 5.”。但遇上坏消息时,就可巧妙运用被动语态来减轻负面因素的影响。例如,应该说“The document was misplaced during the quarterly audit.”,而非“We misplaced the document during the quarterly audit.”。 然而,绝大部分高水准的商务邮件都混合了主动和被动句式,令整篇富于变化。主动句式除了较为友善亲切,更能有效表达撰信人的原意,给人一种真诚的感觉。

撰写商务邮件时要养成使用主动语态的习惯,不妨假设自己在通电话,而不是在写信。商务邮件的行文语调要求自然流畅,甚至近乎口语化。然而在个别情况下,撰信人最好不要太显露自己的真切感受,避免负面情绪,或者干脆对某些情况不露声色。这时采用被动句式和名词短语可算是最适当的手法。虽然名词短语在英文语法中有相当的重要性,但在商务邮件中过多使用名词短语,就像使用过多被动语态一样,显得冗长乏味和过于拘泥。例如:

欠佳 Thank you for your inquiry[名词短语]about our products. 较佳 Thank you for inquiring /asking about[动词短语] our products. 六 、下表左方所列用语句式过于古旧刻板,切忌使用. 可以改用右方列举的用语句式。
